Hospitia LLC ("Hospitia", "we", "us", or "our") operates the hospitia.tech website and the Hospitia hotel compliance platform. This Privacy Policy explains how we collect, use, retain, and protect waitlist, account, and customer-submitted platform information.

Depending on how you use Hospitia, we may collect:

• Your name, email address, role, and organization details.
• Any optional information you voluntarily provide in the waitlist form (e.g., company name, role).
• Your answers to the “See how Hospitia fits” questions on our homepage. When you finish, we save the answers anonymously, without your name, email address, or IP address, to understand who Hospitia is useful for. If you then book a demo with the answers attached, they are linked to that request.
• Account and service data, including properties, inspection cases, photos, video, findings, reports, messages, documents, and contract information submitted by an invited customer or its users.
• Security and operational data such as timestamps, IP address, browser/device details, request identifiers, audit events, and malware or deletion status.

We also collect standard technical data automatically, including IP address, browser type, and referring URL, for security and analytics purposes.

• To provide, secure, and support the platform, including inspection analysis, reports, notifications, and customer administration.
• To respond to any inquiries you submit.
• To maintain the waitlist, communicate service information, analyze aggregate traffic, and improve our website and platform.
• To detect abuse, protect accounts, and investigate incidents.
• To comply with applicable legal obligations.

We process your information based on your consent when you voluntarily submit your details to join the waitlist. You may withdraw consent at any time by contacting us at privacy@hospitia.tech.

We do not sell your personal information. We may share it with:

• Email service providers used to send waitlist communications, bound by appropriate data processing agreements.
• Infrastructure and service providers used to operate the platform, such as database, object-storage, hosting, security-scanning, and email providers.
• The configured Hospitia-controlled private AI gateway for transient analysis of inspection media, documents, or structured context. AI processing is tenant-scoped and does not authorize model training on customer data.
• Analytics providers processing aggregated, non-identifiable data.
• Legal authorities, where required by law.

We retain waitlist information while it is needed for the waitlist or until you request removal. Customer platform data is retained for the service relationship and applicable legal or contractual requirements, then deleted through the applicable account-erasure workflow. Security events may be retained for up to 90 days; legal holds, backups, or other legal obligations may delay final physical erasure.

You may request access, correction, or deletion of your personal information at any time, subject to applicable law, customer-controller instructions, verification, and legal holds. To exercise these rights, email privacy@hospitia.tech. If you are located in the European Economic Area, you may also have additional rights under GDPR.

We implement reasonable technical and organizational measures to protect the information you submit. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Our website is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.

We may update this Privacy Policy from time to time. Material changes will be communicated via email to registered waitlist members or through a notice on our website.
