Hotel inspection software

Hotel inspection software for brand standards and PIPs

Hospitia is AI hotel inspection software for owners, operators, and brands. It turns a property walkthrough into an audit-ready record — guided inspections, brand-standard compliance scoring, and a Property Improvement Plan generated from the evidence captured on site.

    The problem

Checklists record opinions. Inspections should record proof.

Most hotel inspections still end the same way they did thirty years ago: someone walks the property with a clipboard or a phone full of unsorted photos, then spends the next several days turning that into a document. By the time the report reaches the owner, the person who wrote it is relying on memory to explain why a particular area failed.

That gap is where disputes come from. A brand representative says a corridor does not meet standard. An owner disagrees, or cannot tell which corridor is being referred to, or accepts a line item they should have challenged because there is no practical way to verify it. The cost of that ambiguity shows up later, in a Property Improvement Plan that nobody fully trusts.

Hospitia closes the gap by structuring the evidence at the moment of capture rather than afterwards. Every finding is anchored to a timestamped photograph or video frame, scored against the standard that applies to that specific area type, and carried through into the final plan without being retyped or reinterpreted along the way.

    How it works

    Capture, analyze, remediate

    1. Capture

An inspector walks the property area by area, following a guided sequence built from the brand standards that apply to that property. Photos and video are captured in place, so nothing depends on remembering to document a finding later.

    2. Analyze

Captured media is scored against the configured standards for each area type. Findings attach to the exact frame that produced them, and a reviewer can confirm or override any AI result before anything is finalized.

    3. Remediate

A structured Property Improvement Plan is generated from the confirmed findings, phased and costed, with every line item traceable back to the evidence that justifies it.

    Who it is for

One record, three points of view

Owners, operators, and brands normally arrive at an inspection with separate documents and spend the first hour reconciling them. Because all three work from the same underlying record in Hospitia, that step disappears.

    Owners

Understand what a PIP will cost before committing capital, and challenge line items with evidence rather than argument.

    Operators

Run consistent inspections across a portfolio instead of depending on which manager happened to walk the property that quarter.

    Brands

Audit franchisees against your own published standards without sending a field inspector to every location once a year.

    FAQ

Common questions about hotel inspection software

    What is hotel inspection software?
Hotel inspection software replaces paper checklists and spreadsheets with a guided digital walkthrough. An inspector moves through the property area by area, capturing photos and video as they go, and the software records what was found, where, and when. The result is a structured, evidence-backed record of the property's condition instead of a handwritten form that has to be typed up later. Hospitia adds an AI layer on top of that capture step, scoring each area against the brand standards that apply to the property.
What is a Property Improvement Plan (PIP)?
A Property Improvement Plan, usually shortened to PIP, is the list of work a hotel must complete to meet a brand's requirements. PIPs are typically issued when a property joins a flag, changes brands, or comes up for franchise renewal. Traditionally a PIP is assembled by hand after an inspection visit and can take weeks to negotiate between the owner, the operator, and the brand. Hospitia generates the plan directly from inspection evidence, so every line item traces back to a specific photograph or video frame.
How is this different from a clipboard, a spreadsheet, or a generic checklist app?
A checklist records an opinion; it tells you someone marked an area as failing. An inspection built on captured evidence records proof, tying each finding to a timestamped frame that anyone can review later. That distinction matters most when there is disagreement — an owner and a brand representative looking at the same photograph rarely argue about whether a finding is real. Generic checklist apps also have no concept of hotel brand standards, so scoring and PIP generation still happen manually in a separate document.
    Who is Hospitia built for?
Three groups, with a different view of the same inspection. Owners use it to understand what a PIP will actually cost before committing capital. Operators use it to run consistent inspections across a portfolio rather than depending on which manager happened to walk the property. Brands use it to audit franchisees against their own published standards without flying a field inspector to every location. Because all three work from one record, there is no reconciliation step between separate reports.
How does the AI check brand standards?
Each brand's requirements are configured in the system as a set of standards that apply to specific area types — guest rooms, corridors, lobby, fitness, food and beverage, and so on. As inspection media is captured, it is analyzed against the standards for that area and scored. Findings are attached to the frame that produced them. A human reviewer can confirm or override any AI result before a report is finalized, so the analysis accelerates the inspection rather than replacing professional judgment.
How long does an inspection take?
The walkthrough itself takes about as long as it always has, because someone still has to physically visit each area. What changes is everything after the walkthrough. The traditional gap between inspecting a property and circulating a written report — often days or weeks of transcription, photo sorting, and document assembly — largely disappears, because the report is assembled from evidence that was already structured at the moment of capture.
What happens to the photos and video captured during an inspection?
Inspection media is stored encrypted, with access limited to the people associated with that property. Because inspection footage can show guests, staff, and back-of-house areas, it is treated as sensitive rather than as ordinary marketing media. Our security page covers encryption, access control, data residency, and retention in detail, and a Data Processing Agreement is available for organizations that require one.
Can Hospitia handle more than one property?
Yes. Portfolio use is the common case rather than the exception, and inspections roll up so you can compare properties against each other and track how each one moves over time. A single property works the same way — you simply see one row instead of many.
    How do I get started?
Hospitia is currently onboarding properties through a pilot programme. You can request a pilot for a single hotel or for a portfolio, and we will walk through your brand standards and the areas you need covered before anything is configured.
